How to create QR codes for signs and guest Wi-Fi

A QR code can connect printed menus, event signs or guest Wi-Fi instructions to a phone. Before generating one, decide what a visitor should see after scanning and whether that destination will remain available.

1. Choose a useful destination

Use a working URL for a business page, event information or a public form. Open it on a phone first to confirm the page is mobile-friendly and accessible without an unexpected login.

If you intend to leave the sign up for a long time, choose a destination you can maintain. A static QR image will not automatically update when the original destination stops working.

2. Create a QR image

Open DOTKIT's QR Code Generator and select website/text or Wi-Fi. Enter the relevant information, choose the error-correction setting and image size, then download a PNG.

A Wi-Fi QR code can disclose connection details to anyone who scans it. Use a dedicated guest network for public areas and never print administrator or private-network credentials.

3. Design a readable sign

Leave clear white space around the code and provide strong contrast between the dark modules and background. Avoid printing so small that a person has trouble scanning from a natural distance.

Add a simple instruction beside the code, such as 'Scan to view the event schedule'. Explain what the visitor should expect rather than placing an unexplained QR symbol on the page.

4. Test the final printed version

Use another phone to scan the code from the printed sign, not only from a screen. Confirm the exact URL and the content it displays. Recheck signs before events begin and remove expired or outdated notices.

QR images themselves do not have automatic expiration, but links and Wi-Fi details can change. Replace signs promptly if the destination stops working.

Frequently asked questions

Is it safe to print a Wi-Fi QR code?

Only for a network that is intentionally available to visitors. Do not expose personal, employee or administrative access details.
